Everyone has a smart phone in their pocket, an iPad in their bag, and 100 different apps to stay organized. So naturally, most modern planners are glued to their smartphones right? Not exactly.
The survey asked; What was the most common way planners take notes, and record their thoughts in order to stay on top of the dozens of events they’re working on each year.

A whopping 61% of planners reported they still prefer pen and paper to keep their thoughts in order.

But that doesn’t mean modern planners aren’t leveraging technology in different ways. If not for managing information, what the reasons that planners are adopting technology to support their events?
How Are Planners Adopting the Latest in Event Technology?
1.) Discovery and Evaluation
First, nearly 50% of planners indicated that their primary way of discovering new venues, is online. Which leaves little chance for properties with no web presence or out of date websites. The web is inarguably the best way to learn about a venue prior to the site visit. and planners are increasingly expecting accurate images, to-scale floor plans, and access to 3D diagrams online. Knowing how much time and effort site visits will take, don’t’ take a risk on a venue that’s unwilling to provide this information beforehand.
2.) Engaging with Attendees
The shift to mobile is happening faster than ever before, and planners are starting to play catch up. 35% of small and medium sized event planning firms are reportedly increasing their budget for mobile event apps in 2016. On top of that, event planning firms indicated that 27% of their technology budget will go into mobile event apps this year. Event apps are a must, with today’s tech, businesses of all sizes can reap the benefits of a custom event app.
3.) Promoting Events
When it comes to marketing to millennial attendees, modern planners are waist deep in social media. In fact, 87% of planners are already using social media as an avenue to promote their events. The problem is that most planners are only looking at social as a channel to promote their events. Which means they’re only scratching the surface of its potential.

Planners are Being Asked to Do More
Meeting and events are occurring more frequently than ever before, and they’re being planned with shorter turnaround times. Which means that event professionals are being asked to do more, but they’re not all getting the resources they need to improve their process in a real way. In our most recent budget report, we asked planners: “What’s the biggest change you’ve seen since you started working in our industry?”
35% of the planners we surveyed told us that the arrival of event technology has made the most noticeable impact on the industry. It’s made it possible for modern meeting planners to go beyond just making phones calls to venues and A/V companies. Today’s meeting and event professionals have a more versatile skill set, and that’s made possible by event tech. But it’s also one of the biggest hurdles facing planners today.
